  • Guide to Visiting and Reception Instructions

Welcome to your GBA industry study tour and business delegation. To ensure the quality of reception, on-site safety, and decision outputs, please read the following key points before booking. For contract signing or in-depth cooperation, please download the complete terms and contract appendix.

    Categories of Delegations We Host

    • Corporate Delegation: Procurement, R&D, management decision-making teams, or investment teams dispatched by a corporation.
    • Industry Association / Post-show Delegation: Customized learning and matching itineraries designed for industry organizations.
    • Third-Party Commission (Consultant / Agent Bookings): Organized by a consulting firm or procurement agent on behalf of a client (a Letter of Authorization and defined scope of agency powers must be provided).

Note: To guarantee reception efficiency and the quality of resources accessed, we do not accept independent reservations for single or double (1–2 person) groups. We recommend merging into a corporate delegation or joining an existing itinerary via an agent.

Team Size (Our Reception Limits and Recommendations)

To ensure on-site experience and factory reception feasibility, our delegation size is categorized as follows (please plan your accompanying personnel accordingly):

    Small Group 3–6people (Recommended):

High communication efficiency, suitable for rapid technical/procurement validation. Generally >10 working days for preperation.

    Medium Group 7–10 people:

Suitable for horizontal coverage (Procurement + R&D + Quality); may require group splitting for tours. >12–16 working days for preperation.

    Large Group 11–18 people:

Typically uses rotational or parallel reception arrangements. >15 working days for preperation.

    Extra-Large Group 19–25 people (Maximum):

Acceptable but subject to host venue and safety restrictions; usually uses rotational tours or demo line + closed-door seminar combinations. Requires longer preparation time

    Exceeding 25 people:

Cannot be arranged due to factory/park reception and safety limitations。

Lead Time Recommendation: Generally 7 working days; Medium/Large groups 10-15 working days; Extra-large groups or sensitive industries >15 working days or longer. For sensitive industries (semiconductors, pharmaceuticals, aerospace, etc.), please allow extended preparation and approval time.

    How We Support You:

    • Project Manager (PM): Single point of contact, responsible for itinerary execution, on-site coordination, and daily debriefs.
    • Interpretation: Business consecutive or simultaneous (simultaneous requires prior booking and separate billing); Standard configuration suggested is 1 interpreter per 6–8 people; increase staffing if the technical discussion ratio is high.
    • Expert Escort: Engineering/Quality/Supply Chain experts billed daily, providing on-site observational opinions (not constituting formal engineering or legal opinions).
    • Vehicles and Reception: Vehicles arranged based on team size; additional vehicles and team leads provided for parallel group visits.
    • Documentation and Deliverables: Fact sheet for each stop, on-site photos (subject to factory permission), expert observation summary, and follow-up action suggestions.
    • Dining: Meal standards must be confirmed in advance; special/high-end catering will be quoted separately.

    Important Supplementary Notes

    Must Be Confirmed in Advance:

    • NDA / Photography / Sampling: If the itinerary involves commercial or technical secrets, an NDA must be signed before the trip; most factory zones have strict rules on photography, recording, and sampling, which must be communicated and complied with in advance.
    • PPE and Health: Factory visits often require Personal Protective Equipment (PPE) (safety helmets, goggles, anti-slip shoe covers, etc.); if not provided by the factory, we will purchase them, with costs billed separately. Some industries may have health or vaccination requirements.
    • Insurance and Risk Allocation: Clients are advised to purchase travel/business insurance for the entire delegation; the contract will clearly define the scope of liability (we are not liable for compensation for third-party production accidents).
    • Approval and Time: Highly sensitive industries or receptions requiring high-level closed-door meetings may need extra approval or a longer preparation period (and incur associated costs).
    • Cancellation and Changes: Please refer to contract terms for submitting cancellation/reschedule requests; to ensure reception efficiency, changes close to the departure date may incur additional fees.
